Date: June 1
Arrive: 4:30pm
Theme: PJ night (wear Pajama pants over your swimsuit as a cover-up)
What to bring: Googles, swim cap, towels and extra towels, sharpies, water, snacks (yes a concession, but kids get hungry and the line is sometimes too long for them to wait if just needs something quick)
What do I do when I arrive: Ages 5-10 go to your bullpen and meet a coach to get your heat sheet, Ages 11-Up go to the back corner of the grill pavilion and meet a Jr Coach for your heat sheet
After you get your heat sheet: Have someone Mark up your arm Event(E), Heat(H), Lane(L)

The heat sheet will look like this.. copy it on your swimmer’s arm or leg. If you need help please see a previous swimmer or Junior coach, NOT a HEAD Coach or Swim Committee member
Warms-up : Start at 5pm, listen for your age group
Meet starts: 6pm
Volunteers- Please arrive by 5pm if you are 1st half (4pm arrival if you are on the set up crew). Check in at the grill pavilion with Jennifer Lucas, 2nd half volunteers, we will send a text when it is time to report, but a good rule of thumb is around event 38
- Reminders:
Ages 5-6 and 7-8 MUST stay in the Bullpen. This helps coaches/volunteers find kids and have them ready for their event. If your child needs to use the restroom or needs a snack, please let a volunteer know you have them, and get them right back. Other swimmers- be on the pool deck 8 events prior to your event.
Seating: Parents are not allowed to sit on the pool deck- Standing Room only. Parents set up camp in the green lawn beside the clubhouse
Restrooms- On the pool deck or at the upper tennis court pavilion above the green seating area
Please do not approach the coaches about what events your child is or is not swimming in during the meet. The coaches take a whole evening to place kids and they base their decisions on various factors. The combined heat sheet is coordinated in advance with the opposing team, and it impacts both teams (the official) negatively to make any changes during the meet.
Please do not approach the timers, place judges and MOST importantly the REF. These volunteers need to focus and they can not stop to tell you times, etc. Your child’s times will be posted at the end of the meet in SwimTopia or as soon as the scoring team can get everything entered.
Heat Board- There will be an electronic Event board on the deck of the clubhouse, please keep an eye on this as your child’s event gets close. There is a manual event board facing the green grassy area. SwimTopia’s mobile app will show which event and heat we are on.
Weather- Please remember, we swim in the rain. If the pool deck is cleared due to thunder, please seek shelter in your car and DO NOT leave. We will send SwimTopia notifications as to what is happening. Again DO NOT leave the meet.
First time swimmers- Yes, it is chaotic, but it is fun and everyone will swim. If you have an event, be sure to be on the pool deck 8-10 events prior to your event. If you are unsure of something, please ask.
